This policy explains how My Cab Crewe (“we”, “us”) collects, uses and protects your personal information when you use our website, book a journey, request a quote or apply to drive with us. We are committed to handling your information in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Who we are

My Cab Crewe is a private hire operator licensed by Cheshire East Council (licence PHOP546), based at 30 Nantwich Road, Crewe CW2 6AD. We are the data controller for the personal information described in this policy. What information we collect

  • Quote requests and enquiries: your name, email address, phone number and the journey details you give us.
  • Bookings: when you book by phone, online or through our app, we collect the details needed to carry out your journey — such as your name, phone number, pick-up and drop-off addresses, times, passenger numbers and any special requirements. Online and app bookings are handled through our booking system provider (Autocab), and card payments are processed securely by the payment provider; we do not store your full card details.
  • Driver applications: your name, contact details, address, date of birth, previous employment, DVLA check code and copies of your licences, vehicle insurance, MOT certificate and vehicle log book.
  • Newsletter: your email address, if you subscribe to updates.
  • Live chat: any messages and details you choose to share through the chat on our website.
  • Website usage: basic, anonymised statistics about how our website is used, and technical information such as your browser type and IP address, which our hosting and security systems use to keep the site safe.

How we use your information

  • To respond to your enquiries and provide quotes (to take steps at your request before entering into a contract).
  • To take and fulfil bookings, send booking confirmations and driver updates, and take payment (to perform our contract with you).
  • To assess driver applications and carry out the checks required for private hire licensing (to take steps before entering into a contract, and to comply with our legal and licensing obligations).
  • To send you updates you have subscribed to (with your consent, which you can withdraw at any time using the unsubscribe link).
  • To keep records required by our operator licence, handle complaints and lost property, and keep our website and services secure (our legitimate interests and legal obligations).

We never sell your personal information, and we do not use it for automated decision-making.

Who we share it with

We only share your information where it is needed to run our service, with providers who process it on our behalf and under appropriate safeguards:

  • our booking and dispatch system provider (Autocab) and payment processors;
  • our drivers, who receive the details needed to complete your journey;
  • our website hosting provider (IONOS) and website service providers, including Jetpack (website statistics), Tidio (live chat), Mailchimp (newsletter) and Google (the map on our website);
  • Cheshire East Council, the police or other authorities where we are required to by law or by our licence conditions.

Some of these providers may process information outside the UK. Where they do, we rely on the safeguards required by UK data protection law, such as adequacy regulations or standard contractual clauses.

How long we keep it

We keep personal information only for as long as we need it for the purposes above. Booking records are kept for the period required by our private hire operator licence. Quote enquiries are kept for up to 12 months. Driver application documents are deleted if an application does not go ahead, and otherwise kept for as long as the driver works with us and for any period required by licensing rules afterwards. Newsletter details are kept until you unsubscribe.

Cookies

Our website uses a small number of cookies and similar technologies that are needed for it to work, to keep it secure, to provide live chat, and to produce anonymised visitor statistics. The embedded Google map and external booking pages may set their own cookies, which are covered by those providers’ privacy policies. You can block or delete cookies in your browser settings; some features may not work properly if you do.

Your rights

You have the right to ask for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to ask us to transfer it to another organisation, and to withdraw consent at any time where we rely on consent. To make a request, contact us using the details above. We will respond within one month.

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.

Keeping your information safe

We use appropriate technical and organisational measures to protect your information, including secure (HTTPS) connections, access controls and security monitoring on our website.

Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
